Job Title: Brokerage and Research Coordinator

Job Description Summary:

The Brokerage and Research Coordinator plays a pivotal role in supporting broker teams at NAI Summit by facilitating day-to-day administrative tasks, report preparation, and related commercial real estate activities. This position primarily supports the brokerage teams, working closely with one or more brokers under the supervision of the Chief Operating Officer. The Brokerage and Research Coordinator oversees client databases, coordinating transaction management activities, handles communications, coordinate schedules, organizes meetings, assists in preparing brokers for client interactions, assisting in content creation, managing team resources, and supporting marketing efforts. The Coordinator will be responsible for generating reports, maintaining client contracts, and preparing necessary documents for compliance.

Full Job Description

Essential Duties and Responsibilities:

  • Maintain and track client contracts and agreements, track key dates for expirations, coordinating with the management team regarding exclusive listing agreements/representation agreements and confidentiality agreements.
  • Update and maintain the company CRM database to track prospects, clients, and deal information.
  • Respond to client requests as instructed by the management team.
  • Generate lists and reports to support marketing follow-up for clients.
  • Research an array of topics including but not limited to companies, clients, regions, product types, market updates or specific assigned topics.
  • Assist with special projects, and reports, while collaborating with other departments.
  • Maintain files such as leases, closing documents, commission agreements, and listing agreements. Assist with commission calculation and invoicing.
  • Prepare various documents such as Listing Agreements and Non-Disclosure Agreements, customer and prospect correspondence, and reports.
  • Maintain and process real estate agent licensing.
  • Provide transaction management support, including preparing and editing proposals, preparing site search/space survey, agreements, property presentations, and preparing tour books presentations and maps (with the assistance of the Marketing and Design Coordinator).
  • Collaborate with the marketing team to assist and coordinate content creation and proof-reading for marketing pieces, flyers, presentations, press releases, etc.
  • Prepare site search/space survey tour book presentations and maps, utilizing data from CoStar and other systems and contacting brokers for information.
  • Inputting new listings, updating property information, availability, rental rates update listings on third-party sites (CoStar, etc.) and marketing materials.
  • Upload marketing collateral including property brochures and flyers to marketing websites
  • Assist in the production of large marketing materials.
  • Perform general administrative tasks including answering phones, filing, faxing, processing bulk marketing mail projects, and scheduling meetings to support brokerage processes.
  • Conduct analytical searches on platforms such as CoStar and LoopNet.
  • Prepare market surveys by gathering building information, maps, pictures, CoStar data, and creating/binding building tour books.
  • Maintain a calendar of due dates and follow up as necessary.
  • Assist in agenda creation for monthly brokerage meetings.
  • Manage deal pipeline.

Requirements:

  • Bachelor’s Degree (Business, Marketing, Communications, Real Estate, preferred).
  • 2-5 years of experience in a professional organization.
  • Real estate industry and marketing experience preferred (Real Estate license a plus).
  • Advanced knowledge of Microsoft Office, Power Point and Excel preferred.
  • Experience with InDesign and Salesforce (or other CRM) is advantageous.

Our property management department is looking for individuals with prior experience handling office, industrial, retail and/or distressed properties. Our managers are in full-time positions, and each handles a portfolio of facilities. They have direct oversight of the budget creation, tenant improvements, service contract negotiation, lease administration, daily facility operations, maintenance oversight, and management of vendor relationships.
