Property Manager

Job Description Summary

Manage several multi-use, commercial, properties located in the Lehigh Valley. This position will be responsible for the total operation of the properties. The manager will be responsible for budgetary accountability and also includes understanding and executing building owner’s goals and objectives and acting as a direct liaison to tenants.

Duties & Responsibilities:

Accounting

  • Prepare and implement budgets
  • Review and approve invoices and make sure they are coded properly to match budget
  • Contact vendors directly if there are any invoice discrepancies on contracted dollar amounts
  • Complete monthly variance reports for financial statements / review and make sure individual expenses run in line with the budget
  • Approve Summit work order billings and make sure they are coded according to the budget

Building Operations

  • Oversee building operating systems
  • Contract with vendors for recurring services
  • Contract and schedule fire & life safety inspections / keep a log of such inspections
  • Monitor to make sure recurring services are being performed according to the defined specifications in the contract
  • Make recommendations to the building owners on general maintenance required and/or capital improvements needed
  • Inspect property on a routine basis to ensure grounds and buildings are in good standing
  • Contract for special repairs and maintenance needed
  • Submit service requests to building services department and if NAI Summit cannot perform the work, then instruct building services to contact required vendor
  • Implement and oversee capital improvement projects

Tenant Relations

  • Review and abstract tenant leases and understand general responsibilities of landlord and tenant
  • Be the landlord liaison to tenants
  • Provide excellent customer service when dealing with tenants
  • Properly communicate any tenant issues or concerns back to the landlord
  • Correspond with tenants as needed regarding special work being done at the building or about general operational changes
  • Visit with tenants on a regular basis

Perform additional duties as required including:

Maintain all records associated with each property including tenant lists, vendor lists, purchase order logs and building operations list.

Create and maintain electronic distribution list

Attend owner meetings as needed and take meeting minutes

Update owners on all tenant issues, special requests, building operations and seek approvals as needed

Assist owner and provide documentation as needed for, but not limited to, appraisals, real estate tax appeals and other special projects

Respond to after hour calls as needed and/or support building service technicians

Job Requirements:

  • 3-5 years’ experience in commercial property management
  • Valid Driver’s License and Reliable Transportation to travel between properties
  • Proficient in Microsoft Office Skills including Word, Excel and Outlook
  • Knowledge of Yardi Voyager a plus

Additional Education / Certifications Preferred, but not required:

  • Bachelor’s Degree
  • PA Real Estate Salesperson License

Physical Requirements

Requires walking for up to 8 hours per day, 4 hours at a time; standing for up to 8 hours per day, 4 hours at a time; sitting for up to 8 hours per day, 4 hours at a time. Must be able to lift, carry, push, pull and hold approximately 30 pounds. Occasional reaching above shoulder level, bending, crouching, climbing stairs and ladders.

Office Coordinator

We are seeking an Office Coordinator for our Allentown office. This role serves as the communication hub for all departments, fosters teamwork, and ensures smooth day-to-day office operations, including IT and employee relations.

Key Responsibilities:

  • Act as a liaison between management and employees, addressing questions and resolving issues as it relates to the office and office procedures.
  • Organize office operations and suggest improvements.
  • Oversee phone systems, ensuring functionality and efficiency and supply some in house IT support with the assistance of our third party IT company.
  • Support Human Resources by communicating policies, maintaining records, and assisting with onboarding staff members.

Additional Responsibilities:

  • Assist executive leadership with administrative tasks.
  • Maintain office emergency procedures and vendor lists.
  • Plan company events, gifts and assist in coordinating volunteer opportunities.
  • Manage office supplies, vendor contracts, and equipment maintenance.
  • Support special office projects, including IT upgrades and facility improvements.

Qualifications:

  • Degree in Business Administration or related field preferred, or 5+ years of office management experience.
  • Strong communication, organizational, and problem-solving skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat.
  • Ability to manage multiple tasks with attention to detail.

Property Managers

Our property management department is looking for individuals with prior experience handling office, industrial, retail and/or distressed properties. Our managers are in full-time positions, and each handles a portfolio of facilities. They have direct oversight of the budget creation, tenant improvements, service contract negotiation, lease administration, daily facility operations, maintenance oversight, and management of vendor relationships.
